Correcting/Deleting Records


If you are an industry cooperator with access to the AIPL industry queries, you can use the "Make Format 1" or "Make Format 4" function to create a record and then modify it based on the following information.



Format 1 and/or Format 4 can be used to:



To correct a breed code:
  • set breed code to correct breed code (@3-4)
  • set cross reference ID (@54-70) to ID with incorrect breed code
  • set record type code (@88) to R
  • set pedigree verification code (@89) to 2
To correct a gender:
  • set sex code to correct sex code (@2)
  • set cross reference ID (@54) to be the same as animal ID (@3)
  • set source code (@79) to B
  • set record type code (@88) to R
  • see Error 0P for additional restrictions
To correct a calving date:
  • new calving date must be within 60 days of incorrect calving date (existing record)
  • existing and new record do not form a termination code 8 followed by termination code 9 sequence
  • existing record must be a RIP
  • both records must be from the same herd
  • cow did not change herds during lactation
  • new processing date must be later than existing record's processing date, unless corrected or verified (@127 set to 1 or 2)
  • test-day data MUST be submitted with the new calving date; it will NOT be transferred from the old calving date
To correct one parent:
  • set sire/dam ID to correct sire/dam ID
  • set source code (@79) to B
  • set pedigree verification code (@89) to 2
To correct a birth date:
  • set birth to correct birth
  • set pedigree verification code (@89) to 2
  • for DRPC source, if change is more than 90 days and less than 400 days, submit multiple records with birth date change increments of 90 days or less
To correct a country code:
  1. create a cross reference with correct country code (record type code @88 to P or X)
  2. delete ID with incorrect country code (record type code @88 to Y)
To correct two animals with switched parentage (sire and dam):
Requires 3 records submitted in the following order; set record type code (@88) to P and verification code (@89) to 1 on all
  1. create a pedigree correction record for animal #1 with the correct Sire ID and the Dam ID set to blanks
  2. create a pedigree correction record for animal #2 with the correct Sire and Dam IDs
  3. create a pedigree correction record for animal #1 with the correct Dam ID
To correct lactation DIM with matching calving and herd:
  • set herd code (@107) to herd code you want to modify
  • set lactation type code (@126) to A
  • set lactation verification code (@127) to 2
  • set calving date (@128) to calving date you want to modify
  • set DIM (@136) to DIM you want the lactation DIM to be. All test days and reproductive events after this DIM will be deleted
To identify a preferred identification:
Used when an animal has registration numbers in multiple countries and the USA ID number is not the preferred ID number
Cows
  • set animal ID (@3) to preferred ID
  • if the correct preferred ID is NOT in the database, set cross reference ID (@54) to previously preferred ID
  • set source code (@79) to B
Bulls
  1. remove previously preferred ID:
    • set animal ID (@3) to preferred ID
    • set cross reference ID (@54) to previously preferred ID
    • set source code (@79) to B
    • set record type code (@88) to Y

  2. re-add previously preferred ID, but not as the preferred ID:
    • set animal ID (@3) to new preferred ID from step 1 above
    • set cross reference ID (@54) to deleted ID from step 1 above
    • set source code (@79) to B
    • set record type code (@88) to P

  3. re-add bull name and/or registry status to non-preferred ID:
    • set animal ID (@3) to animal ID removed in step 1 above
    • set source code (@79) to B
    • set record type code (@88) to P
To identify verified unknown parents:
  • set source code (@79) to B
  • set pedigree verification code (@89) to 7 if sire will NEVER be known
  • set pedigree verification code (@89) to 8 if dam will NEVER be known
  • set pedigree verification code (@89) to 9 if both parents will NEVER be known
To delete a pedigree:
  • set record type code (@88) to D
  • set lactation type code (@126) to P
To delete a record with no pedigree information:
  • set record type code (@88) to D
  • set pedigree verification code (@89) to 2
  • set birth date (@71) to any valid date
To delete a cross-reference:
  • set record type code (@88) to Y
  • set lactation type code (@126) to P
To delete all records for a cow:
  • set herd code (@107) to 00000000
  • set lactation type code (@126) to 5
  • set lactation verification code (@127) to 2
  • set calving date (@128) to 00000000
  • set DIM (@136) to 000
To delete all records with matching herd:
  • set herd code (@107) to herd code you want to delete
  • set lactation type code (@126) to 6
  • set lactation verification code (@127) to 2
  • set calving date (@128) to 00000000
  • set DIM (@136) to 000
To delete all records with matching calving:
  • set herd code (@107) to 00000000
  • set lactation type code (@126) to 7
  • set lactation verification code (@127) to 2
  • set calving date (@128) to calving date you want to delete
  • set DIM (@136) to 000
To delete all records with matching calving, herd:
  • set herd code (@107) to herd code you want to delete
  • set lactation type code (@126) to 9
  • set lactation verification code (@127) to 2
  • set calving date (@128) to calving date you want to delete
  • set DIM (@136) to 000
To delete one testday record with matching calving, herd, and DIM:
  • set herd code (@107) to herd code you want to delete
  • set lactation type code (@126) to 8
  • set lactation verification code (@127) to 2
  • set calving date (@128) to calving date you want to delete
  • set DIM (@136) to DIM you want to delete
To delete more than one reproductive event with matching calving, herd:
  • set herd code (@107) to herd code you want to modify
  • set lactation type code (@126) to A
  • set lactation verification code (@127) to 2
  • set calving date (@128) to calving date you want to modify
  • set number of reproductive events (@136) to 01
  • set date of reproductive event (@139) to maximum event date. All events after this date will be deleted
